Editing and Deleting Information in Landlord Vision

Most items that have been entered into Landlord Vision can be edited and anything can be deleted, though in some cases you may need to delete a payment first. Here is a guide to what you can and cannot do when it comes to editing and deleting.

Editing or Deleting an Expense in Landlord Vision

The most common request we get is for deleting expenses. Here’s how you do it:

  1. Go to Property Manager > Expenses
  2. Open up the Expense
  3. Place your cursor over the word Payment on the right hand side of the screen
  4. Click the red bin icon that comes up
  5. Back on the Property Manager > Expenses screen, delete the now unpaid expense

If you have a lot of expenses to delete, there is a quicker way than opening each expense:

  1. Go to Property Manager > Payments
  2. Tick all of the payments that need to be removed (use the filters to find them more easily if you need to)
  3. Select Delete from the Bulk Options list at the bottom of the page
  4. Press Submit
  5. Now go to Property Manager > Expenses > Awaiting Payment tab
  6. Tick the now unpaid expenses that need to be removed
  7. Select Delete from the Bulk Options list at the bottom of the page
  8. Press Submit

You can edit expenses too. Open the expense in Property Manager > Expenses and click the Edit button. You can change anything in here, except you cannot change the amount once the expense has been paid. In this case you will need to delete the payment first.

If you have a Repeating Expense that is writing expenses for you, it is possible to edit this too:

  1. Go to Property Manager > Expenses > Repeating tab
  2. Open the Repeating Expense
  3. Click Edit and make the changes
  4. You can set the Next Due Date to be when you want the change to take effect from.

Note: Care should be taken when using the Next Due Date option. If you set this to a date in the past and the software has already written this expense, then another expense will be written and the old one will remain in the expenses list. You will need to delete this in the way described above.

The same applies with Property Manager > Income for deleting and editing the income invoices.

Editing or Deleting Mortgages in Landlord Vision

Mortgage payments are handled slightly differently in Landlord Vision compared with normal expenses and are written by the Finance Manager, so changes should be made in this section. However, watch out for the Automatically Paid option. If you have this enabled, the software will re-add the payment as soon as you delete it, so you will need to turn ‘Automatically Paid’ off in the Loan History tab of the affected mortgage first.

Alternatively, update the Loan History and tell the software when a change to the payment amount took place. The software will update the payments list and remove the incorrect payments added previously if necessary.

Editing or Deleting Invoices in Landlord Vision

It is not recommended to delete rental invoices from the Invoices page. Invoices are generated by the tenancies and if you try to delete them, the software will add them back in the next day.  

Manually added charge invoices can be deleted however. To remove rental invoices, go to Tenant Manager > Tenancies > open the tenancy and click the pen (Edit) icon next to the Tenant header to get to the Edit Tenancy screen. On here make the necessary changes – usually changing the rent amount or the date will do it.  If the tenancy has ended and the tenant is no longer being charged rent, click the End Tenancy button within the tenancy.

Editing or Deleting Tenancies in Landlord Vision

Typically, we do not recommend deleting tenancies unless you are absolutely sure you no longer need the data, as some information will be removed from your reports. However, the payments will remain and can be reallocated to a new set of invoices if you re-add the tenancy.

Editing or Deleting Properties in Landlord Vision

You cannot delete a property that has a tenancy assigned. You will need to delete these from Tenant Manager > Tenancies first. Again, we don’t recommend that you do this unless you are sure that you no longer need the data. If you have sold a property but want to retain the records, simply go to Property Manager > Properties, open the property > Edit and record the date the property was sold.

Editing or Deleting Bank Accounts in Landlord Vision

The same goes for the other nominal accounts as well. You cannot delete an account that has transactions in it. So, if you want to delete the account, you either need to delete the transactions or move them to another account.
